Emergency Planning Questions for School and Accessible Transport

By 20/03/2024October 6th, 2026Blogs

Before arranging a school or accessible bus journey, ask how the operator handles disruptions and communicates with the people responsible for the passenger. The questions below can support that conversation. They are not emergency procedures or instructions for operating equipment.

Clarify Roles Before Travel

Ask who will be responsible for the passenger during boarding, travel and handover. Discuss any assistance requirements and ask what relevant preparation and training apply to the staff allocated to the journey.

Discuss Route and Access Concerns

Tell the operator about known access constraints at the pick-up or destination, and any timing requirements that affect the journey. Ask how changes in weather, road access or service availability will be communicated.

Agree on Communication Arrangements

Confirm the contact method to use for an absence, delay or change of plan. Ask who will contact the family or school if a journey is disrupted and who can authorise an alternative handover.

Ask About the Relevant Procedures

Request information about the arrangements that apply to the passenger and allocated vehicle if a journey cannot continue as planned. Any individual support requirements should be discussed before travel with the people responsible for the passenger’s care.

Keep Contact Details Current

Agree which family, school or support contacts the operator needs for the journey. Confirm how changes to these details should be supplied and which information is necessary for the agreed service.

Review Changes to the Plan

Revisit the arrangement if the passenger’s needs, school, route or mobility equipment change. Ask how concerns can be raised and how any agreed changes will be recorded.
