Accessible transport planning starts with the person’s own goals: where they want to go, when they need to arrive and what support they require. For an NDIS participant, the transport arrangement and the intended payment or funding arrangement both need to be confirmed before travel.
1. Start With the Passenger’s Requirements
Describe any mobility aid, boarding assistance, seating or communication requirements. Ask the operator to confirm suitability for the allocated vehicle, including the space and equipment relevant to that passenger.
Include the person in planning where possible. Their preferences about the journey and assistance can help identify questions that a general accessibility description will not answer.
2. Map Out the Activities
List the destinations, dates and arrival times needed for school, appointments or other activities. Check the return journey as carefully as the outward trip, including whether an appointment’s finishing time is uncertain.
Confirm which trips the operator can accept. An enquiry about one route does not establish availability for other destinations or times.
3. Agree on the Routine
For repeat travel, record the agreed days, collection points and contacts. Ask how to report an absence and how much notice is needed for a change.
Check what happens if a journey is delayed or a booking needs to be cancelled. Last-minute availability should be confirmed directly rather than assumed.
4. Discuss Assistance and Comfort
Ask what assistance will be available during boarding, the journey and arrival. Clarify any responsibilities of a family member, carer or support worker before the booking is finalised.
If seating, temperature, noise or breaks affect the journey, raise these needs in advance and confirm what the proposed service can accommodate.
5. Make the Information Usable
Choose a way to keep the travel details that suits the passenger and the people supporting them. Include the agreed contact method for questions or changes.
Confirm how journey updates will be provided. Do not rely on an app, live tracking or an automatic notification unless it has been specifically confirmed for the service.
6. Confirm the Service and Payment
Request a quote and clarify the payer, invoicing requirements and any change or cancellation terms. Check intended funding arrangements with the relevant organisation; a transport enquiry is not confirmation of funding eligibility or provider registration.
